Display Controls: Assignment Calendar
The Display Tabs As field at the top of the page determines the perspective / view of the calendar. As different options are selected from the Display Tabs field, the values displayed on the calendar tabs will change. In addition, the displayed assignments will differ.
Depending on the option selected from the Display Tabs As field, additional filter controls and search field prompts may be available.
There are three general categories of perspectives available from the Display Tabs As field:
-
Labor Perspectives: Numerous options available from the Display Tabs As field will display labor records, including Employees and Contractors. Depending on which option you select, tabs for the labor records that match the selection will be displayed. For example, Labor On Call displays all on call labor records as tabs across the top of the calendar. Similarly, My Direct Reports displays all employees for whom you are listed as the supervisor.
Labor resources are considered on call when the On Call check box is selected on the Labor Detail page.
-
Labor with Matching Work Order Attributes: Several options displayed toward the top of the list allow you to filter to Labor records that are associated with the work order’s repair center, shop, shift, or category.
-
Organizational/View Only Perspectives: Below the options corresponding to Labor records, the Display Tabs As field lists organizational attributes that provide a more global view of work order assignments. For example, selecting Customers from the field would display all customers as tabs across the top of the calendar. This allows you to view all the work order assignments for this customer together.
Although the calendar is displayed in a view-only mode, there are tricks to creating assignments from these perspectives that will be discussed in the sections that follow.
Display Tabs and Calendar Header
The tabs displayed at the top of the calendar filter the view of the calendar and are based on the selections made from the display controls at the top of the page.
If the criteria entered resulted in more technicians than could fit on the page, a scroll bar is available to access additional individuals.
The currently selected labor record is highlighted in red, with the individual's identifying information listed in the header bar directly below the tabs. Assignments for the selected tab are displayed on the calendar. As a different labor record is selected by clicking the respective tab, the header bar updates and the calendar refreshes with assignments for that individual.
The header bar and tab names correspond to the selection made in the Display Tabs As field. For example, selecting Departments lists departments as tabs, with the currently selected department listed in the header bar. Similarly, selecting Shops lists shops as tabs, with the currently selected shop highlighted in the header bar.
Assignment Display on Calendar
The actual assignments displayed on the calendar vary in appearance based on the display perspective. If a labor perspective is selected, assignments listed will display the Work Order ID and asset. If a picture of the asset is available, it will be displayed.
The red dashed box around the date indicates the target date for current work order.
The background color of the assignment is based on the priority or status of the work order, as described below:
-
Red / Pink: Work orders with an urgent or high priority.
-
Yellow: Work orders with normal priority.
-
Light blue / Green: Work orders with low priority.
-
White: Work orders that have been complete, regardless of status.
-
Orange: Currently accessed work order, regardless of priority.
-
Transparent (no box): Work orders that have been closed.
Background colors may vary slightly depending on your monitor and graphics card.
In contrast, if a perspective other than labor is selected from the Display Tabs As field, the calendar will display the individual assigned to each work order. If a picture of the individual is available, it will be displayed.
If you hover your mouse over a particular assignment, a window opens, providing additional detail about the work order.
Assignment Hours and Time
The assignment hours are displayed within each assignment. In addition, the total assigned hours for the displayed perspective are displayed in the upper-right corner of any date on which assignments are listed. If more than one assignment exists for a given date, the assigned hours for each assignment are accumulated and the total is displayed.
If the regularly scheduled work hours for the individual displayed are stored in the Labor module, the total hours available will also be shown in the upper-right corner of the date.
If assignment time is configured to display, calendar tiles will show the specified time.
Assignment Calendar Sharing
Assignment calendars can be shared with an external calendar program such as Microsoft Outlook, or a third-party program such as Google Calendar. The Share button on the far right of the calendar header is used to share a calendar. For information on sharing an assignment calendar, see Calendar Sharing.
